For hotels and B&Bs

Digital guest directory for hotels

Replace the printed compendium in every room with a page guests open from a QR code: services, opening hours, breakfast, Wi-Fi, checkout and the city, in their own language.

Why hotels move the compendium online

The printed room folder is out of date the week after it is printed. The spa changes its hours, the restaurant changes its menu, the airport shuttle moves to a new time, and forty folders need new pages. A digital guest directory, sometimes called a digital compendium, is one page you edit from your phone. The QR card in each room keeps working, and every guest sees today's information in the language they choose.

What to put in a hotel guest directory

  • Reception: opening hours, phone extension, WhatsApp.
  • Wi-Fi: network and password with a copy button and a camera join code.
  • Breakfast: times, where it is served, what is included.
  • Restaurant and bar: hours and a link to your QR menu with prices, photos, allergens and calories.
  • Room service and housekeeping: how to order, when rooms are cleaned, how to ask for towels.
  • Facilities: pool, spa, gym, laundry, with hours and rules.
  • Check-out: time, late check-out, where to leave the key card.
  • Getting around: airport transfer, taxis, parking, public transport.
  • The city: your recommendations on a map with directions.
  • Safety: emergency numbers, evacuation, nearest pharmacy and hospital.

Where to place the QR code

On the desk or bedside table as a small stand-up card, next to the TV, and in the lift. In the lobby, a larger sign helps guests who are waiting for their room. The same page works everywhere; print as many cards as you need. If room types need different information, duplicate the page and adjust it.

Languages

Write the directory once in your main language and add others: English, German, French, Spanish, Italian, Dutch, Portuguese, Russian or Turkish. Missing texts are translated automatically and you can correct any line. Guests switch language on the page.

Questions

Good to know

Is a digital compendium the same as a digital guest directory?

Yes. Both names describe the room information folder moved to a web page that guests open on their phone, usually from a QR code in the room.

Do guests need an app?

No. The QR code opens a web page in the phone's browser.

Can every room have a QR code?

Yes. Print the same code as many times as you like. If some rooms need different details, duplicate the page and print that page's code for those rooms.

Can I show the restaurant menu too?

Yes. Herely also makes digital menus with photos, prices, allergens and calories, and you can link the menu from the directory.

How much does it cost?

$9 a month, or $54 a year (half price), after a 7-day free trial that needs no card. One price covers all your pages; Etsy buyers get 30 days included.
